2 Instances Showing 19 months of data

Both fvdublin.piwik.pro and worthingtonjewelers.piwik.pro are on the business plan which is supposed to keep data for 25 months. Both of them are keeping data for 19 months. Both have been active, collecting data, since April 2024. Right now, I’m only seeing data through December, 2024.

Hi David, I checked the account and it does show 25 months of retention. Were you able to access data older than December 2024 before? Did anything change from April to December that year (new property added in Piwik PRO / subscription changes / instance changes)?

No changes other than moving from free to paid.

The last day for data that I seen in the reports is 29 November, 2024. 25 months of data would mean that I should see through May, 2024.

Side-question: Does your system remove old data day-by-day?

When the data retention period is reached the data (subjected to data retention) is deleted on te first day of the following month.

Another thing, some time before the retention period is reached, all owners should get notified via email and a banner should show up on the Piwik PRO instance - did you see/get any of that?

In the owner of both instances. I’m can’t find any emails.

But both are on the business plan.

If you didn’t get any emails or a banner in Piwik PRO and the data retention period is indeed 25 months in the system, then it should work correctly. If you were approaching the retention period, it would mean that the data was deleted on June 1st - did you notice any changes directly between end of May and beginning of June?

And to continue my other concern: It sure looks like your system is rolling off data May and beginning of June? on a day-by-day basis. While this is somewhat a separate issue from me not getting 25 months of data, it’s really strange that your system is deleting data by day instead of rolling off a full month-at-a-time. Here’s the screen for FVDubling.org in dublin.piwik.pro the last day of data is Novemebr 30, 2024 :

I meant May and beginning of June this year, more specifically if you’ve noticed any data missing after June 1st 2026 :slight_smile:

I asked our team to verify the retention period, I’ll let you know when I get an answer. I also checked the account and the data still starts on Novemeber 30th, so seems like nothing got deleted since your last reply.

Update: I can confirm that it is indeed 25 months, not only in the UI but also in our database.

Data confirmed as still out through November 30.

As to how many months of data is available, it’s 18. There are 18 months of full data, no more. May, 2026 through December, 2024 is 18 months (see screenshot below). This account has been active, collecting data since May/June of 2023.

I assure you that everywhere I checked, the data retention period is indeed 25 months and nothing got deleted. Do you have any screenshots, data exports or anything that shows this account tracking in 2023? This would be helpful in case there was an error or something that impacted the data and it’s not showing up in our systems.

Do you also know if there were any changes to the properties on this account? Maybe it’s active since 2023, but along the way there was a new site added which collected data since November 2024?

If there is 25 months of data, why am I not able to see the other six months of data (19 + 6 = 25) either in your interface or via the Google Data Studio API?

I regularly download the data from this instance for archiving. I have data as far back as:

FVdublin.org - June, 2023
Thebaileyatbridgepark.com - February, 2024
Friendshipathome.org - June, 2023

Could the timing of my switch from the free model to the subscription—which occurred close to when the free version ended—be causing an issue?

Could you share some data that you’ve archived? For FVdublin.org and via private message of course - maybe there is something useful that I can use to confirm if it was deleted.

Do you know the exact date of the switch from core to subscription?

The switch over to subscription happened during the last few days of March.

This is the oldest data that I archived.
